Office Policies
Luthra Medical Associates is a small privately run practice that prides ourselves in being able to offer you personalized care.
In order to do so, we ask that you follow & respect our guidelines below so we can continue to provide you the best care possible.
- Currently we are not accepting Walk-In appointments. Appointments must be made in order to see our providers.
- We do offer SAME DAY appointments and ask that you call our office PRIOR to 11AM to be seen the SAME DAY.
- SAME DAY appointments are to discuss ACUTE matters only. These appointments are meant to be PROBLEM FOCUSED, and to help reduce patient flow to the Emergency Departments and Urgent Cares.
- Please know that in order to be able to ensure SAME DAY appointments we ask that if you need to cancel or reschedule appointments that it be done within 24 HOURS, this way we can offer your appointment to someone who needs it.
- Our office and phone lines are open Monday – Thursday 9am to 5pm, and Friday 8am to 4pm. In addition, established patients may use the online patient portal to communicate with the office for administrative (appointments, billings, non-urgent questions) matters.
- New patients must be seen for a new patient appointment to establish a doctor-patient relationship before we can begin to provide medical care or prescribe medications.
- New patient appointments necessitate extra time so it is important that new patients keep their initial appointments. Failure to keep your new patient appointment without proper cancellation notice may result in a letter of discharge from our in practice.
- In an attempt to minimize everyone’s time in the waiting room, we advise that patients who are more than 15 minutes late for an appointment without notifying the office, may need to reschedule their appointment.
- Appointments should be cancelled within 24 hours or there may be a missed appointment charge of $25.
- Established patients who NO SHOW for more than 3 appointments without timely cancellation may be sent a letter discharging them from our practice.
- As a courtesy, we do remind our patients of their upcoming appointments by phone or text message. Lack of an answering machine, busy signals, and unlisted/changed/non-working phone numbers mean that we cannot always accomplish your reminder call. Please be aware of you scheduled appointments.
